An AI assistant for hotels greets guests in their language and records the booking.
An AI assistant for hotels answers the calls and WhatsApp messages your front desk cannot get to, finds a room type that fits the guest's dates and party size, and records the reservation. Tel Asistan AI speaks six languages and, when your property management system (PMS) is connected, reads availability and rates from it live. Turkish by default, it can also be set up in English, German, French, Spanish or Italian. It takes no payment; it records the booking and sends the confirmation and your location on WhatsApp.

What is an AI assistant for hotels?
An AI assistant for hotels is software that answers the phone line and WhatsApp number of a hotel, guesthouse or holiday villa and records overnight reservations by dates, party size and room type. It reads availability from the calendar in your dashboard or from your property management system, and never books a room that is too small or breaks a minimum-stay rule. It does not take payment.
- It asks for check-in and check-out dates and party size, and talks in room types, not room numbers.
- With several room types it asks the guest's preference, and books a suitable one if there is none.
- During the call it sends your location and a property brochure on WhatsApp.
- It answers Instagram DMs with the same information and collects booking requests for your team.
What does AI assistant for hotels do? It does more than talk: it records the booking.
In the guest's language
Turkish, English, German, French, Spanish and Italian can be enabled; with several enabled, the assistant switches to the language the guest speaks. The default is Turkish, and the same setting applies to the phone, WhatsApp and website chat.
Room type catalogue
Each room type carries a board concept, features, adult and child capacity, nightly rate, discount and minimum stay, and can be bulk-uploaded from Excel. The assistant never books a room that breaks these rules.
Party size and large families
When capacities are set it asks the party size and assigns a room that fits. On your own calendar, a family too large for one room is placed in as many rooms as you allow under a single reservation.
With your PMS
With your PMS connected, availability, room types and rates are read live and the reservation is written back; cancellations and date changes are reflected there too. If the PMS cannot be reached, the assistant does not make up availability.
WhatsApp during the call
While talking on the phone it sends your location, a room brochure or an information message to the guest's WhatsApp, so directions arrive in writing.
You approve, you collect
Choose whether bookings are confirmed immediately or only after your approval. If you ask for a deposit, it tells the guest the amount and your instructions; it never takes payment, and an unapproved booking lapses after the hold time you set.
With your PMS connected, the assistant tells guests what your system says
A calendar kept by hand does not always match real occupancy. Once your property management system (PMS) is connected, the assistant reads availability, room types and rates directly from it, and reservations are written into your system with a copy kept in the dashboard.
Live availability and rates
Room types with closed sales, no stock left or a minimum-night rule that does not fit are never offered; the best-priced suitable option is suggested.
Non-refundable rates off by default
An unpaid booking taken by phone should be cancellable. If you allow non-refundable rates, the assistant first states the total and that it is non-refundable, and waits for a clear yes.
Price changes are flagged
The rate is checked again right before booking; if it changed during the call, the guest is told. The stay price and check-in and check-out times are confirmed on the booking.
Cancellations and date changes
Cancellations and changes reach your system; for a date change the new booking is made first and the old one cancelled after — never two live bookings.
The PMS connection is set up in the dashboard and tested live before it is saved. Connected properties book one room per reservation; ask us which systems are supported.
How is AI assistant for hotels rolled out? Three steps.
- 01
Enter your room types and rules
Room types, capacities, nightly rates, check-in and check-out times and minimum stays are entered in the dashboard or from Excel. If you have a PMS, it is connected and room types are imported from it.
- 02
Connect your phone and WhatsApp
The hotel's existing number is forwarded to the assistant; you choose its languages, its greeting and when to transfer to reception. You add your location and brochure to the WhatsApp sending list.
- 03
Follow bookings in the dashboard
Every reservation arrives with a call summary and a guest card; the occupancy board shows 14 days on one screen. Guests receive confirmation and reminder messages on the channel you choose.
Front desk only versus an AI assistant for hotels
Who is it for? Every property that sells nights.
Boutique hotels
Calls and WhatsApp messages are not left unanswered when one person is on the front desk.
Guesthouses
Seasonal call peaks; availability and room type questions answered at night too.
Apartments and holiday villas
Overnight bookings, minimum-stay and capacity rules; talks in unit types rather than unit names.
Hotels with international guests
Callers greeted in their own language, with the booking and call summary in the dashboard.
Hotels with a restaurant
Room and table bookings on one assistant; a guest giving check-in and check-out dates is not asked “hotel or restaurant?”.
Frequently asked questions about AI assistant for hotels
Does the assistant take payment?
No. The assistant does not collect payment; it records the reservation. If you require a deposit, it tells the guest the amount and your instructions, and you mark the payment as received in the dashboard. You can have bookings confirmed only after your approval, and let unapproved bookings cancel automatically after the hold time you set.
Does it work with our property management system (PMS)?
The PMS connection is set up in the dashboard: it is tested live before saving, room types are imported from your system, availability and rates are read from it, and reservations are written into it. Sales rules such as board type, non-refundable rates and currency are managed in the dashboard. Without a PMS the assistant works from the room types and calendar in the dashboard; ask us which systems are supported.
Which languages can it speak with guests?
The product's default language is Turkish, and the assistant can be set up in English, German, French, Spanish and Italian. With several languages enabled it switches to the one the guest speaks and records the booking under the same rules. The same language setting applies to WhatsApp and website chat.
What does it say to a guest who asks for a specific room number?
The assistant does not discuss room numbers; it works with room types such as standard, family room or suite, and the system assigns the next free room of that type. If you have several room types it asks which one the guest wants, and books a suitable one if they have no preference. Only you see room numbers, in the dashboard.
Does it reply to guests who write on Instagram?
Yes. It answers Instagram DM questions about rooms, location and facilities from your knowledge base and collects booking requests; your team takes over the conversation and completes them. Reservations are recorded on the phone and WhatsApp channels; on Instagram the assistant does not create bookings.
How is pricing calculated and how long does set-up take?
Pricing is a monthly package per channel: talk minutes for the phone, message counts for WhatsApp and Instagram. There is no per-booking commission and no commitment; VAT is added at checkout. You can calculate each channel on the /en/pricing page. With room types and the knowledge base ready, set-up takes a few days.
