AI CRM integration — your customer history builds up in our dashboard or in your own CRM.
AI CRM integration means that every call and conversation the assistant handles is written to the right customer record automatically. Without a CRM, Tel Asistan AI keeps each customer's calls, WhatsApp conversations, notes, appointments and orders on a single timeline; with a CRM, it delivers the same data to your system through an open API and signed real-time notifications (webhooks). Add your team and each person sees only the sections they are allowed to.

What is AI CRM integration?
AI CRM integration is a way of working in which the AI assistant on your phone and messaging channels recognises the customer, writes the outcome of each conversation to the customer record and keeps that record in sync with the CRM your business uses. It replaces manual note-taking: the call summary, the appointment or the order sits in the customer's history the moment the conversation ends.
- The assistant recognises callers and senders by number and starts with the previous conversation's summary in mind.
- If a customer says “my name is spelled wrong”, the assistant fixes the record — the phone number is never changed this way.
- Businesses without a CRM get a ready-made customer record and timeline in the dashboard.
- Businesses with a CRM get an open API and signed real-time notifications covering 14 events.
With or without a CRM: two needs, one assistant
People search for AI CRM integration for two different reasons. A business without a CRM wants to see each customer's full history on one screen without buying another tool; a business with a CRM wants everything the assistant produces to reach its own system completely and on time. Tel Asistan AI covers both, and you can use them side by side.
Customer records in the dashboard
Manage customers from the Tel Asistan AI dashboard; each record fills itself in as the assistant talks to people.
- Calls, WhatsApp conversations, notes, appointments and orders on one chronological timeline
- WhatsApp and Instagram cards with the last message, unread count and whether the assistant is replying
- Filters for last contact, silence over 30 days, upcoming appointment, city and tag
- One click from the list to have the assistant call, to message on WhatsApp or to book an appointment
Open API and real-time notifications
What the assistant produces flows into your system; your team stays in the screen it already knows.
- Open API access to customers, calls, appointments, orders, WhatsApp and web chat, campaigns and surveys
- Real-time notifications for events such as a new appointment, order, customer, incoming message or call outcome
- Every notification is signed and retried at increasing intervals if your endpoint is unreachable
- Sending the same phone number twice through the API never creates a duplicate customer
Both paths read from the same source: the customer history in the dashboard is the same history the API returns, and each notification's payload is identical to the matching API record. Use them together if you like — your team reads the dashboard, your systems read the API.
What does AI CRM integration do? It does not just record — it remembers the customer.
Recognises callers by number
The same customer is found whether the number was saved as 0532… or +90532…. The assistant starts with the last conversation's summary, so customers do not have to explain everything again.
One timeline, separate notes
Interactions sit day by day on a single stream; notes have their own tab and are labelled by type: team note, assistant note, request forwarded to the business, details update.
The assistant leaves notes
When switched on in your settings, it writes lasting facts learned on the call (for example “can't take deliveries on Saturdays”) to the customer's notes; it does not write a note — or claim it did — for a number with no customer record.
Fixes details, never the number
On the customer's request it corrects first name, surname, address, city, email and company name on their own record; the old value is kept in the notes and open appointments and orders are updated. The phone number never changes.
Open API and webhooks
Your CRM can create and update customer records and pull their full history; events reach your endpoint the moment they happen, as signed notifications.
Team access per person
Add staff and choose Off · View · Act for each section. Anyone you deactivate is signed out of the dashboard and the mobile app immediately.
Add your team; everyone sees only their own work
As customer data grows, “who can see what” starts to matter. In My Team, the business admin adds staff and grants permissions section by section; staff use the dashboard and the mobile app within those permissions, and the admin can see in a report what the team is following up on.
Permission-based access
Off, View or Act for each section; an admin can only grant permissions they hold themselves. New staff set their own password on first sign-in.
No settings or delete rights
Staff cannot open settings pages or API access and cannot delete records; without billing permission they do not see cost figures.
Access ends instantly
Deactivating, deleting or resetting a password closes the dashboard session and the mobile app session at the same time; an open tab returns to the sign-in screen.
Activity and follow-up report
See who viewed what, what they did and how much of their notifications they followed up; note and message text is never written to this report.
The mobile app is for follow-up and notifications; staff see only their permitted sections there too. “Seen” is personal: one colleague reading a message does not mark it as seen for everyone else.
How is AI CRM integration rolled out? Three steps.
- 01
Connect your channels
As phone, WhatsApp, Instagram and web chat are connected, customer records open automatically from the phone number. Import your existing customer list with the template file.
- 02
Set up your team and permissions
Add staff in My Team and choose the permission for each section. What each person can see and do is enforced on the server, exactly as you chose.
- 03
Connect your CRM, if you have one
Get your API key in the dashboard, add your endpoint on the Webhooks screen, pick the events to listen to and send a test event. Track every delivery and resend failed ones with one click.
Manual customer tracking versus AI CRM integration
Who is it for? Every business that wants to know its customers.
Small businesses without a CRM
Calls, messages and appointments gathered on one customer record, without buying a separate customer management tool.
Clinics, salons and service businesses
The caller's history is ready as the phone rings; the assistant speaks knowing the last conversation.
E-commerce
Order and conversation history on the same record; new orders and status changes delivered to your system instantly.
Sales teams
New customers, call outcomes and campaign call results land on the CRM record by themselves.
Businesses with many staff
Reception sees bookings, sales sees orders; a leaver's access is closed with one click.
Developers and integrators
A documented open API, with an example payload for each event and signature verification samples.
Frequently asked questions about AI CRM integration
Which CRMs does it work with?
It is not tied to a particular CRM brand and is not sold as a ready-made plug-in; instead it offers a documented open API and real-time notifications (webhooks). Any CRM or ERP that can receive HTTPS requests and call an API can be connected — usually by your developers or an integrator. Once API access is enabled on your account, you get the key in the dashboard.
Which events trigger a webhook?
A call ending, and its summary, transcript and recording becoming ready; an appointment being created, updated or cancelled; an order being placed or changing status; a customer being created or updated; a callback being created or changing status; a message arriving on WhatsApp, Instagram or web chat; a survey or campaign call being completed. You choose which events each endpoint listens to.
What if my system misses a notification?
Nothing is lost. Every notification is signed and carries a unique event ID; if your system does not return a success response, it is retried after 1 minute, 5 minutes, 30 minutes, 2 hours, 6 hours and 12 hours. If every attempt fails, the notification stays in the dashboard's failed list and can be resent with the same ID, so you never process the same event twice. An endpoint that keeps failing is paused and the admins are notified.
Could the assistant change a customer's details by mistake?
The assistant only corrects details when the customer explicitly asks, and only on the caller's own record; it cannot touch anyone else's record, will not replace a real name with a generic one such as “Customer”, and never changes the phone number. Every change is written to the customer's notes together with the old value, so it can be reverted. Open appointments and orders are updated; closed records such as delivered orders stay as they were. The feature can be switched off in your settings.
How is customer data protected?
Each business's data is kept separate and an API key only reaches that business's data. Staff see only the sections they are permitted to; when access is revoked, all of that person's sessions end immediately, and permanently deleting a staff member also deletes their account and sign-in records. When a person makes a deletion request under KVKK (Turkey's data protection law), their call recording, transcript and summary are deleted and removed from the customer record.
How is it priced?
Pricing is a monthly plan per channel: voice minutes, plus the number of WhatsApp, Instagram and web chat messages. There is no commitment and no commission per order or appointment; VAT is added at checkout. You can work out the cost channel by channel on /en/pricing.
